As a Finance Admin cum E-commerce Accountant, this role is responsible for supporting the day-to-day financial and accounting operations of the business, ensuring accurate financial records, seamless e-commerce transaction reconciliation, and efficient administrative processes across online sales channels. The position plays a key role in maintaining financial compliance, managing documentation, and collaborating with cross-functional teams to support business growth in a fast-paced e-commerce environment.
What You Will Do
1. Document Control, Filing & Operational Support
- Contract Management: Issue contract reference numbers to Persons in Charge (PICs) in accordance with company regulations.
- Client & Vendor Documentation:
+ Daily update and follow-up on Minutes of Acceptance/Contract/PO,... for Client and vendors contracts.
+ Track and physically stamp BBNT for the paperwork. - Digital Filing (Cloud Storage): Input complete and accurate information into Google Drive; classify documents by file group/content category as guided
- Paperwork & Archiving Management:
+ Manage hard copy and soft copy archiving of paperwork/vouchers.
+ Download, verify scan files, check hard copies, and safely store physical files.
+ Systematically update tracking sheets and Google Drive logs. - Document Circulation & Inter-departmental Tracking:
+ Monitor and supervise incoming/outgoing document workflows across departments; promptly assist in resolving any issues or delays
2. Collaboration & Audit Compliance
- Request necessary information and documents from relevant departments for periodic or ad-hoc task execution.
- Collaborate flexibly and professionally with internal departments and external parties (Audit, Tax, State Inspection Authorities, etc.).
- Coordinate with the AP (Accounts Payable) Team to check and verify vendor contracts during payment processing
3. D2C & E-Commerce Operations Support
- SKU & Master Data: Perform daily SKU matching and upload product listings (Single/Bundle) on Misa.
- Invoice Issue Management: Weekly check unissued invoices on Misa and coordinate with the D2C team to troubleshoot listing/SKU errors
- E-commerce Reconciliation: Monthly reconcile revenue across E-com platforms (Shopee, TikTok, Lazada) against Misa data and update the D2C Reconcile file.
- Cost Allocation & PnL: Monthly update Actual Costs for Outright operations (DUC, Boncept) and adjust/verify PnL post-update
4. Act as the direct point of contact for PICs to clarify and resolve all inquiries related to Paperwork (PPW).
Who You Are
- Bachelor’s degree in Finance, Accounting, Business Administration, E-commerce, or a related field.
- At least 1 year of experience in Finance Administration, E-commerce Operations, Sales Administration, or Accounting.
- Experience in the e-commerce, retail, or cosmetics industry is highly preferred.
- Hands-on experience with accounting ERP systems, preferably MISA.
- Basic understanding of e-commerce platforms and operations, including Shopee, TikTok Shop, and Lazada.
- Proficient in Microsoft Excel and Google Sheets.
- Detail-oriented with strong numerical accuracy and attention to detail.
- Strong problem-solving skills and the ability to collaborate effectively with cross-functional teams.
- Well-organized with a systematic approach to managing both digital and physical documentation.
