Talent Acquisition & HR Systems Coordinator Executive

The Talent Acquisition & HR Systems Coordinator  is responsible for supporting and coordinating Talent Acquisition operations while managing corporate user accounts and internal database infrastructure. This role ensures that all candidate processes are swift and seamless, and that employee data across all platforms remains accurate, secure, and fully compliant with company standards.

What You Will Do

Talent Acquisition Coordination

  • Interview Scheduling: Efficiently and professionally coordinate and schedule interviews between candidates, Recruiters, and Hiring Managers, ensuring an exceptional Candidate Experience from the first touchpoint.
  • Process Pipeline Efficiency: Monitor and maintain the speed of candidate movement through various interview stages to ensure a swift, compact, and bottleneck-free recruitment process.
  • Data Integrity & Tracking: Consistently, systematically, and accurately update and synchronize candidate information from the ATS (Greenhouse) into the team’s internal Google Spreadsheets in real-time.
  • Quality Control (Greenhouse): Auditing and verifying the accuracy of all candidate profiles, specific Hiring Manager assignments, and pipeline statuses within Greenhouse to ensure flawless data reference.

HR System & User Management Administration

  • Dashboard & Analytics Maintenance: Maintain, verify, and update the TA Dashboard to ensure all talent acquisition analytics are displayed accurately for leadership's strategic decision-making.
  • Master Employee Database (MED) Maintenance: Administer employee data within the MED to ensure it remains "Clean Data" at all times. Conduct end-of-month data exports and comprehensive audits to verify active employee statuses and identify any terminated employees who have not been deactivated.
  • Slack Security & Administration: Execute the creation and deactivation of employee Slack accounts and Slack app. Strictly enforce security protocols to ensure that departing employees' accounts are deactivated precisely on their last day of employment to safeguard corporate data.
  • Organizational Chart Management (Organimi): Maintain and continuously update the company’s organizational structure on Organimi, ensuring all employee additions, internal transfers, and departures are reflected accurately.
  • Communication Infrastructure (Mailing Lists): Accurately add or remove employees from corporate mailing lists and distribution groups based on formal internal requests.

Who You Are

  • Bachelor’s degree 
  • 0-2 years of experience as HR Coordinator or related field
  • Fresh graduates are warmly welcomed! (Prior internship experience in HR, Talent Acquisition, or Administrative roles is a plus) 
  • High Attention to Detail: Exceptional accuracy and meticulousness in data entry, auditing, and managing employee records (Data Integrity is crucial for this role).
  • Active & Energetic Style: High-energy, proactive, self-motivated, and enthusiastic with a strong "can-do" attitude and a drive to move processes forward quickly.
  • Agile & Adaptable: Comfortable working in a fast-paced environment with a strong ability to multitask and manage competing priorities effectively.
  • Tech-Savvy: Fast learner with digital tools. Familiarity or eagerness to learn ATS (e.g., Greenhouse), Google Workspace (Sheets/Docs), Organimi, and Slack Administration.
  • Excellent in both speaking and writing English.
