In this role, you will be responsible for switchboard administration, petty cash management, and daily office support, ensuring smooth and efficient company operations. You will serve as the first point of contact for visitors and the daily functioning of the office, assisting the team in maintaining high efficiency while providing positive support and convenience for colleagues.

What You'll Do

  • Switchboard & Front Desk Administration:
    Handle visitor reception, mail and package distribution, and switchboard calls, representing the office externally with professionalism and friendliness.
  • Daily Office Administration:
    Manage office supplies, purchase and deliver holiday gifts, assist with holiday decorations, and maintain a clean and comfortable work environment, supporting colleagues to work efficiently.
  • Finance Collaboration:
    Compile monthly office-related financial information, including courier expenses, petty cash, and office supplies purchases, and work closely with the finance team to complete payment requests and reconciliation, ensuring smooth financial operations.
  • Petty Cash Management:
    Responsible for issuing and monitoring office petty cash, ensuring transparent and accurate fund usage in accordance with company policies.
  • Support for Meetings & Major Events:
    Arrange meeting equipment and assist with catering and supplies for large trainings and events, ensuring smooth execution.
  • Other Assigned Tasks:
    Assist supervisors with ad hoc tasks and projects, flexibly supporting the team’s diverse needs and ensuring successful completion of all responsibilities.

  • Strong Office Skills:
    Familiar with basic Excel functions and formulas, able to organize and analyze data efficiently.
  • Intermediate English:
    Comfortable working in an English-speaking environment.

Work Schedule

  • Flexible Hours:
    09:00–10:00 to 18:00–19:00 (must arrive at the office by 10:00 at the latest).
  • On-Site Requirement:
    Due to the nature of the role, remote work is not applicable; full-time office presence is required.
